Data cataloging is a structured process for MRO, equipment, and materials data

Collecting, classifying, verifying, and entering your equipment and materials data into your ERP or CMMS system correctly. It is not the same as data entry, and the difference is significant. Where data entry prioritises speed and low cost per record, data cataloging prioritises accuracy, consistency, and usability. The goal is data that works from day one, not data that needs to be fixed later.
From experience: low-cost data entry consistently produces data that requires cleansing and correction — often at a cost that exceeds the original data entry contract.

Data collection
We work with you to identify all available data sources — supplier deliverables, engineering contractor documents, asset registers, and internal records. We collect, organise, and prepare all inputs before cataloging begins.

Structure definition
If you do not already have a taxonomy and class library, we define one suited to your operations and system requirements. This step is essential for consistency, without a defined structure, cataloging cannot produce reliable results.

Classification and verification
Our subject matter experts classify each item according to the agreed taxonomy and verify the technical data, manufacturer names, part numbers, attributes, against our proprietary reference sources.

Description normalisation
We apply your agreed short text and long text formats consistently across all records, ensuring that search and reporting work as intended.

Validation and delivery
Before delivery, all data is validated for completeness, consistency, and conformance with the agreed standard. Data is delivered in the format required by your ERP or CMMS.
